What must be documented after completion
LIA
A final grade is set by the higher vocational provider based on the supervisor’s statement and the student’s reports. Supporting documentation is archived in line with the ordinance on higher vocational education.

APL
The vocational teacher is responsible for grading on the A–F scale, based on assessment from the supervisor and follow-up at the workplace. Supporting documentation is archived per pupil.

VFU
The examiner at the higher-education institution decides on pass or fail based on the supervisor’s final statement and the student’s reflection. Supporting documentation is retained under the Archives Act.

PRAO

Retention, archiving and access after closure
Once the period is completed, each data category follows a configurable retention plan. Documents that must be retained are archived in line with the Archives Act and the higher vocational ordinance, while everything else is automatically anonymised or deleted.

FAQs
How is the final grade set and what is the supervisor’s role?
The supervisor submits a final statement based on the agreed assessment criteria. The vocational teacher, programme manager or examiner sets the grade based on the statement, the student’s reports and the agreed criteria.
When does the student receive the placement certificate?
The placement certificate is generated automatically once the final assessment is signed by the supervisor and the grade is set. The student receives the certificate as a verifiable PDF with a unique check link.
How long is supporting documentation kept and what is purged?
A retention plan is configured per data category in line with the Archives Act and the higher vocational ordinance. Documents that must be retained are archived, all other data is anonymised or deleted automatically once the period expires.
How is documentation compiled for the programme council and the authorities?
Pre-built report templates compile statistics per programme, cohort and placement. The report can be exported in PDF or as raw data and adapted to the recipient’s template, for example MYH, Skolverket or UHR.
Can a student request their own documentation afterwards?
Yes. Each student can request an extract of their own data and certificates from the platform. The request is logged and answered in line with the requirements of the General Data Protection Regulation.
How are placements quality-assured ahead of the next school year?
Evaluations from student, supervisor and workplace are aggregated into a placement classification together with deviation history and outcomes. The classification feeds back into the matching engine for the next cohort.
